Privacy policy
K9metrix is an app that sled-dog kennels use to make their daily teams, keep their dogs' health and inspection records, and log the runs their dogs do. This page says exactly what personal data that involves, who is responsible for it, where it is kept and what you can do about it.
The short version
- Almost everything in K9metrix is about dogs. The personal data is small: the names and logins of a kennel's owner and guides, who wrote or saved what, and, if a kennel uses them, guest weights and GPS tracks of runs.
- Each kennel has its own private, separate database. Kennels never see each other's data.
- We do not sell data, show ads, use tracking cookies, or send your data to AI.
- Watch data from Garmin or Polar is used only to put a musher's own runs on their own kennel's dogs.
- You can get a copy of your data, and have it deleted.
Who is responsible
Snowdog Arctic Adventures AB, org. no. 559489-8792, Haapalan Pekkas Väg 3, 981 92 Kiruna, Sweden, makes, sells and runs K9metrix. Contact for anything on this page: hello@k9metrix.com (or info@snowdog.se).
- For the data inside a kennel's app, the kennel is the controller under the GDPR: it decides what goes in and who gets a login. Snowdog Arctic Adventures AB is its processor: we keep and process the data only to run the app for that kennel, on its instructions, under a written agreement.
- For this website, for billing, and for our own contact with kennels, Snowdog Arctic Adventures AB is the controller.
What we keep, and why
| What | Whose | Why | How long |
|---|---|---|---|
| Logins: sign-in word, full name, a password stored only as a salted scrypt hash, role switches (for example "makes teams"), language, last sign-in, last working day if set. | Kennel owner, guides, crew | To let each person sign in and do only what the kennel allows. | While the kennel uses K9metrix. Switching a login off ends it at once. |
| Who did what: the login name saved with teams, notes, health checks, medicine doses, rounds and changes, plus a random ID the phone's browser makes for itself (not a hardware ID). | Kennel crew | So the kennel, its vet and an inspector can see who recorded what, and so phones can sync. | While the kennel uses K9metrix. |
| Free text: notes about dogs and teams, vet and clinic names on vet visits, documents a kennel uploads (vet reports, invoices, insurance letters). | Whoever is named in them | The kennel's own dog records. | While the kennel uses K9metrix. |
| Staff (only if the kennel turns Staff on): who works which day, a volunteer's name if they have no login, jobs and tasks done. | Kennel crew and volunteers | The day's rota and the inspection record of who cared for the dogs. | While the kennel uses K9metrix. |
| Guest weights (only if the kennel turns Weights on): the booking name and code, guests' weights read from the kennel's booking system or typed by a guide, and the load on each sled. | The kennel's guests | To keep the load per dog safe. Guest e-mail, phone and address are shown to the kennel's admins from the booking system but never saved by K9metrix. | While the kennel uses K9metrix, unless the kennel asks us to clear them sooner. |
| GPS tracks of runs: distance, time, speed, climb, start and end time, the file name and a simplified line of the route (at most about 200 points). A GPX file is read on the phone; the raw file is not uploaded. | The musher who ran, and the team | To give every dog in the team its kilometres and to show the route. | While the kennel uses K9metrix. The kennel can remove a track. |
| Security records: failed sign-ins and the IP address they came from, sign-ins to the owner's desk, and an audit list of important changes (settings, roles, imports, exports, backups). | Anyone who signs in | To stop password guessing and to know who changed what. | Server logs at most 90 days; the audit list while the kennel uses K9metrix. |
| Billing and contact: the kennel's company name, address, org. or VAT number, contact person, e-mail, phone and invoices. | The kennel and its contact person | To run the agreement and send invoices. Swedish bookkeeping law requires us to keep invoices for 7 years. | 7 years for invoices; other contact details until the agreement ends. |
Everything else in K9metrix is about dogs: names, birthdays, positions, health, medicines, kilometres, pens. That is not personal data, but we protect it the same way.
Legal basis. For data inside a kennel's app, the kennel decides its own basis, normally its legitimate interest in running its kennel and its legal duty to keep animal-welfare records. For billing and contact, our basis is the agreement with the kennel and our bookkeeping duty. For watch connections, the basis is the musher's consent, which they can withdraw at any time by disconnecting.
Garmin and Polar watch data
A musher can choose to connect their own Garmin Connect or Polar Flow account to K9metrix, so the runs they record on their watch reach their kennel's teams without uploading files by hand. This connection is being built for the 2026–27 season. This is exactly how it works:
- Who connects. Only the musher, from their own login, by signing in to Garmin or Polar and agreeing on Garmin's or Polar's own screen. A kennel cannot connect someone else's watch account.
- What we receive. After each watch sync, the activity files of that musher's runs: the GPS route, times, distance, speed and elevation. We also receive the musher's Garmin or Polar user ID and the access keys for the connection.
- What we keep. For each run: distance, time, speed, climb, start and end time and a simplified route line, attached to the team that ran. We do not keep heart rate, sleep, stress or any other body or health readings, even if the file contains them. The access keys are stored encrypted.
- Where it goes. Only into that kennel's own private database on our server in Sweden. Only that kennel's logins can see it. Other kennels never see it.
- What we never do. We do not sell, rent or share Garmin or Polar data with anyone. We do not use it for advertising or marketing. We do not send it to any AI or machine-learning service, and we do not use it to train AI. We do not pass it to any other app or service.
- Disconnecting. The musher can disconnect at any time, in K9metrix or in Garmin Connect or Polar Flow. We then stop receiving data and delete the access keys straight away. Runs already attached to dogs stay in the kennel's record unless the musher or the kennel asks us to delete them, which we do within 30 days.
Garmin's and Polar's own privacy policies cover the data while it is in their services.
AI
The K9metrix app does not send your data to any AI service, and no data is used to train AI. We use AI coding tools to build the app. They never receive Garmin or Polar data, and they see a kennel's own records only if that kennel asks us for help with them and agrees.
Where the data is kept, and who helps us
Kennel databases and their backups are stored in Sweden, on a server that Snowdog Arctic Adventures AB owns and runs in Kiruna. No hosting company holds them. These companies take part in delivering the service:
| Who | Where | What for | What they handle |
|---|---|---|---|
| Cloudflare, Inc. | USA, with servers worldwide | Our domain names, the encrypted connection between your phone and our server, and hosting this website. | All traffic passes through Cloudflare on its way to our server, including IP addresses. Transfers are covered by the EU–US Data Privacy Framework and the EU's standard contractual clauses. |
| Checkfront Inc. | Canada | Only for kennels that connect their own Checkfront booking system. | The app reads that kennel's bookings to show guests and weights. The kennel has its own agreement with Checkfront. Canada has an EU adequacy decision. |
| OpenTopoMap | Germany | Map pictures under GPS routes. | Only which map squares to fetch, asked for by our server. No personal data. |
| Garmin, Polar | USA, Finland | Only for mushers who connect a watch account (see above). | The musher's activity files, sent from them to us. |
If we move kennels to rented servers, they will be in the EU, and we will update this list and tell every kennel first.
How we protect it
- Each kennel has its own separate database file. A login only works in its own kennel.
- Every connection is encrypted (HTTPS). Our server is not open to the internet; it is reached only through Cloudflare's encrypted tunnel.
- Passwords are stored only as salted hashes. Nobody, including us, can read them.
- Five wrong passwords lock that login for 15 minutes, and longer each time after.
- Photos have their location and camera details removed when uploaded.
- Each kennel is backed up every night. Backups are kept 14 days.
On your phone
- K9metrix sets no cookies of its own. Cloudflare may set one strictly necessary security cookie that tells people from bots; it is not used for tracking. Sign-in uses a token that lasts up to 180 days. It stops working at once if the password changes or the login is switched off.
- So the app works with no signal, the phone keeps a copy of the kennel's data and any unsent changes in the browser's own storage. Signing out forgets the login but leaves that copy. On a shared phone, clear the browser's website data after signing out.
- The app and this website load no ads, no analytics, no tracking pixels and no third-party scripts or fonts.
Getting a copy, and deletion
- Copy. A kennel admin can download the dogs list from the app. We send the whole kennel, as a spreadsheet and the full database file with its documents, whenever the kennel asks, and automatically when it stops.
- Deletion. When a kennel asks, or within 30 days after it stops using K9metrix, we delete its database, documents and backups, and confirm it in writing. Invoices are kept for 7 years because the law requires it.
- One person's data. A guide who leaves can be switched off by the kennel at once. If you want your name removed from a kennel's records, ask the kennel or write to us.
Your rights
Under the GDPR you can ask to see the personal data held about you, have it corrected, have it deleted, have its use restricted, object to its use, and get a copy to take elsewhere. If you are a guide or musher at a kennel, ask your kennel first, since it is the controller; we will help it answer. You can also write to us directly at hello@k9metrix.com and we will pass the request to the right place. We answer within one month.
If you think we have handled your data wrongly, you can complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY), imy.se, or to the data protection authority where you live.
Children
K9metrix is made for kennel owners and their working crew. Logins are not for children under 16.
Changes to this policy
If we change what we collect or who we share it with, we update this page and the date at the top, and we email every kennel before the change applies. If we ever wanted to use watch data in a new way, we would ask the musher first.
